12 Questions to Ask Before Choosing a Real Estate CRM in India
Most real estate CRM comparisons are written by vendors, including this one. So rather than telling you which product to buy, here are the twelve questions that separate a CRM your team will actually use from a licence you will be paying for in eighteen months while everyone works out of a spreadsheet.
Ask every vendor the same twelve. The differences in their answers will tell you more than any feature matrix.
Lead Capture
1. How does a Facebook or Instagram lead reach the CRM, exactly?
You are listening for the word webhook. If the answer is a sync, ask for the interval. If the answer involves downloading a CSV, the demo is over.
2. What is the median time from form submission to a notified owner?
Ask them to show it on their own instance. "Real time" is a marketing word; minutes are a number.
3. What happens to a duplicate enquiry?
The same person enquiring twice should be one lead with two touches. Two records means two salespeople calling the same customer, which is worse than a slow response.
4. Is this the official WhatsApp Cloud API, or a gateway?
Unofficial automation on a personal WhatsApp account risks the number being banned, and takes your enquiry history with it. Ask which it is, plainly.
5. Who owns the WhatsApp Business Account and the number?
The answer should be: you do. If the vendor holds the WABA, leaving them is a negotiation rather than a disconnection.
6. Can several agents work one number with ownership per conversation?
This is the actual reason to leave the WhatsApp Business app. A shared login is not the same thing as assignment.
Your Data
7. Can we export everything, today, without asking you?
Leads, contacts, notes, call logs, message history. If export requires a support ticket, you are renting your own data.
8. What does import look like, and what happens to automations on imported leads?
Importing two years of enquiries should not fire a follow-up campaign at all of them. Ask specifically; teams have burned their WhatsApp quality rating this way.
9. Where is the data hosted, and what is the retention policy on message content?
WhatsApp threads contain personal data. You want an answer, not a shrug.
Commercials and Adoption
10. What is the price, per user, in rupees, without a call?
A published price is a proxy for how the vendor treats small teams. Also ask what is not included: messaging costs, onboarding, integrations, support tiers.
11. How long until one sales team is working entirely in the system?
Days, weeks or a quarter are all legitimate answers for different products. The wrong answer is a vague one.
12. What does a salesperson's screen look like on a Tuesday afternoon?
Ask to see the salesperson's view, not the manager's dashboard. Adoption fails on the salesperson's screen. If it takes eleven clicks to log a site visit, nobody will log site visits, and by month three your reports will be fiction.
How to Run the Evaluation
Demo with your own data. Connect one real Facebook form and one real WhatsApp number. A demo on sample data tests nothing.
Put two salespeople in the trial, not two managers. Managers evaluate reports; salespeople decide whether the CRM survives.
Run a fortnight in parallel. Old system read-only, one team fully on the new one. Compare median response time and site visits booked.
Write down the three things that must work. Decide them before the first demo, or every vendor's strongest feature becomes your requirement.
A Note on "Best" Lists
Searching for the best real estate CRM in India mostly returns listicles, and many of them are written by CRM vendors ranking themselves. They are still useful for building a shortlist — just check who published each one before you treat the ranking as independent.
If Meta-sourced leads and WhatsApp are where your sales actually happen, our WhatsApp Cloud API and Facebook Lead Ads pages answer questions 1 to 6 in detail, and the pricing page answers question 10 without a call.
