WhatsApp Cloud API vs the WhatsApp Business app for real estate teams
By Nidhi PatelWhatsapp4 min read
Almost every real estate sales team in India starts on the WhatsApp Business app. It is free, it installs in a minute, and it works — until the day it doesn't, which is
usually the day somebody leaves.
### What the Business app actually gives you
The WhatsApp Business app is a single-device product with a few business features bolted on: a catalogue, quick replies, labels, away messages. For one broker working
alone it is genuinely enough. For a team it has three properties that eventually become expensive.
• The conversation lives on a handset. Whoever holds the phone holds the customer relationship, and when they resign it walks out with them.
• Only one person can answer. WhatsApp Business supports a small number of linked devices, not a queue with ownership. Two salespeople answering the same number end up
replying to each other's customers.
• Nothing is reportable. There is no first-response time, no unanswered-conversation count, no record of what was promised about a unit's price.
### What the Cloud API changes
The WhatsApp Cloud API is Meta's official hosted API for the same network. Instead of a phone, your number connects to software. In a CRM that means:
• A shared inbox. Several agents work one number, each conversation has an owner, and reassignment moves the history with it.
• A record on the lead. The WhatsApp thread sits on the same timeline as the Facebook enquiry, the site visit and the quotation, so the next person to pick the lead up
can read what was already said.
• Templates at scale. Pre-approved message templates can go to a segment — a price revision, a launch invite, a site-visit reminder — with delivery and read state
written back per recipient.
• Automation. A first response can fire the second a lead arrives, which is most of what a fast response time really is.
### What it costs, honestly
Three things change on the bill and in the process.
Meta charges for conversations. The Cloud API is billed by Meta directly to your WhatsApp Business Account, by conversation category, at its published rates. For a team
sending genuine sales conversations this is usually small next to one lost booking, but it is not zero and it is not a flat fee.
Marketing messages need approved templates. You cannot broadcast free text. Templates are submitted for review, and a rejected template is a marketing plan that has to
wait. Write them as messages a customer would want, not as advertisements, and approval stops being a recurring problem.
Chat history does not migrate. Moving a number from the Business app to the Cloud API leaves the old conversation history on the handset. Plan the switch for a quiet
day, and export anything you genuinely need first.
### How to tell you have outgrown the app
Four signals, in the order teams usually hit them:
1. More than one person needs to reply on the same number.
2. You cannot answer "how fast did we respond to yesterday's leads?" without asking somebody to scroll.
3. A salesperson has left and taken conversations with them.
4. You want to send the same message to 400 enquiries without it being a person copying and pasting for an afternoon.
One of those is survivable. Three of them means the phone is now the bottleneck.
### What the migration looks like
Connecting a number to the Cloud API through a CRM takes a single session: verify the business with Meta, connect the WhatsApp Business Account, register the number,
and submit your first templates. The work that takes longer is deciding who owns which conversations and what the automated first response says.
One principle is worth keeping in view throughout: your business should own the WhatsApp Business Account and the number. If a vendor holds either on your behalf,
leaving them later becomes a negotiation rather than a disconnection.
### Where GrowusCRM fits
GrowusCRM connects your number to the official Cloud API with no third-party gateway in between, and puts the shared inbox on the same lead record as your Facebook and
Instagram enquiries. If you are comparing options, our WhatsApp Cloud API CRM page covers the mechanics, and Facebook Lead Ads integration covers where most of those
conversations start.
